Terms and conditions - the basics

  • Confirmation: A reservation is confirmed upon receiving a valid credit card guarantee or full payment for your stay, subject to availability.

  • Changes: You may be able to modify your reservation with sufficient notice (stipulate the notice period here). However, rate changes or cancellation fees may apply.

  • Cancellations: Cancellations made after the deadline (stipulate the deadline here) will incur a cancellation fee (specify the fee percentage or amount)

  • Rates and Payment

  • Rates: All rates are quoted in (currency) per night and do not include taxes or additional fees (specify any additional fees here).

  • Taxes: Applicable government taxes will be added to your final bill.

  • Payment Methods: We accept (list accepted payment methods). Full payment may be required at the time of booking for certain rates or promotions.

  • Check-In and Check-Out

  • Check-In Time: Check-in is after (time) (stipulate early check-in policy if offered).

  • Late Arrival: Please inform the hotel in case of late arrival.

  • Check-Out Time: Check-out is by (time) (stipulate late check-out policy if offered). Late check-out fees may apply.

  • Valid Identification: A valid government-issued ID and credit card are required at check-in.

  • Guest Conduct

  • Respectful Behavior: We expect all guests to behave in a respectful and responsible manner towards other guests, staff, and hotel property. The hotel reserves the right to evict any guest who violates these terms.

  • Smoking Policy: Clearly state the hotel's smoking policy (e.g., non-smoking property, designated smoking areas).

  • Damages: Guests are liable for any damages caused to hotel property during their stay.

  • Liability

  • Valuables: The hotel is not responsible for the loss or damage of personal belongings. We recommend using the in-room safe for valuables.

  • Parking: The hotel is not responsible for any damage or loss to vehicles parked on the property.

  • Personal Injury: The hotel is not liable for any personal injury sustained on the property except in cases of proven negligence.

  • These Terms and Conditions are subject to the laws of (your jurisdiction).

  •  Entire Agreement

  • These Terms and Conditions constitute the entire agreement between the guest and the hotel regarding the reservation and stay.

What to include in the T&C document

Generally speaking, T&C often address these types of issues: Who is allowed to use the website; the possible payment methods; a declaration that the website owner may change his or her offering in the future; the types of warranties the website owner gives his or her customers; a reference to issues of intellectual property or copyrights, where relevant; the website owner’s right to suspend or cancel a member’s account; and much much more.
